CommunitEze holds information on behalf of associations, landlords and the people who live in their homes. This page says what, why, and who can see it. It is written to be read.
What we hold
- Your account: the email address you sign in with, your name and phone if you or your board entered them, and which homes and associations you're connected to.
- Association records a board keeps: units, owners of record, dues schedules, invoices and payments, announcements, documents, the message board, and an audit log of who changed what.
- Landlord records: properties, leases, rent invoices and payments, and the tenants on each lease.
- Payments: processed by Stripe. We keep the record of a payment — amount, date, which invoice — and a reference to the payment method. We never see your full card or bank account number.
Who can see what
Access follows your relationship to a home, and it's enforced in our database, not just in the app's screens.
- A board sees its association's units, members, dues and records. It never sees a lease, a rent amount, or a tenant's rent payments — the app is built so that data is absent from board-facing screens, exports and notifications, not merely hidden.
- A landlord sees their properties, leases and tenants, and their own dues on any unit they own in an association. A board does not learn that a resident is a landlord elsewhere.
- A tenant sees their own lease and rent, and the community life of the association they live in. They never see the association's finances.
- A management company's staff see only the associations they are assigned to, and only what each board has granted.
- When you leave an association or a lease, you keep your own payment history and lose everything else.
Who else
Stripe (payments), Supabase (hosting and database), Resend (email) and Smarty (address verification) process data for us under their own agreements. We do not sell data, and no model is trained on it.
